Data Governance Communication Plan

Communication, Communication, Communication. The key to any successful relationship.  A well-crafted data governance communication plan can help bridge this gap and foster a data-driven culture. This DataQG article outlines the steps to create an effective communication plan that engages your target audience and promotes the significance of data governance.

Define the communication objectives. The first step in creating a data governance communication plan is to clearly define the objectives of your communication. In this context, the primary objective is to educate people about data governance and its importance. Consider what you want to achieve with the communication, such as raising awareness, driving engagement, or facilitating collaboration.

Identify your target audience. In this case, the target audience includes everyone within and outside the organization who deals with data. This may comprise employees, management, external partners, and regulatory bodies. Tailor your communication strategy to effectively address the unique needs and interests of each group.

Once you’ve defined your target audience, develop key messages that convey the main points about data governance. Tailor the messaging dependent on the level of knowledge of each party and the line of business they are in. What will resonate with them? What analogies can be drawn between their goals and good data? Ensure that these messages are clear, concise, and memorable to resonate with your audience.

Objectives will vary depending on which stakeholder is involved. At times your communication messaging will be to all stakeholders.

Communication channels are equally important as the messaging itself. How do your stakeholders typically communicate and what will be most effective? These channels can include things like a newsletter, intranet sites, SharePoint platforms, Slack, meet-ups, podcasts, etc. Creativity is key to keeping engagement high.

Create content: The content for the communication channels should be created to effectively communicate the key messages to the target audience. In this case, the content can include images, infographics, and explanatory videos. Create engaging content to effectively communicate your key messages through the chosen channels. This may include images, infographics, explanatory videos, blog posts, bite-sized media, or podcasts. Ensure that your content is visually appealing, easy to understand, and consistent with your organization’s branding. Again, creativity is a key component.

Track levels of engagement and pivot your content based on the metrics you receive. Monitoring these key metrics such as reach, engagement, and conversion to evaluate the effectiveness of your communication strategy. Solicit feedback from the target audience and incorporate their insights to improve the plan over time. Simply ask your stakeholders directly or through quick and easy surveys.

By following these steps, you can create a comprehensive data governance communication plan that effectively communicates the importance of data governance and engages your target audience. This will not only raise awareness but also promote a data-driven culture within your organization, ensuring better decision-making and long-term success.
